Ask an owner which marketing works and you usually get a theory. Here is what it takes to get an answer instead.
"Word of mouth, mostly." Sometimes that is true. More often it is what you say when nothing is recorded, because the alternative is admitting you do not know. Half your marketing budget is probably working. The problem is that nobody can tell you which half, so the whole budget gets defended or cut as one lump.
This is not carelessness. It is the natural result of a business where calls come to a cell phone, forms come to an inbox, and sales get written down in a system that never learns where the customer came from in the first place.
You need three things, and they are less technical than they sound.
If you take nothing else from this, take these. They are the ones that turn "we think it is working" into a number you can act on.
Written definitions cut both ways, and that is the point. They stop an agency claiming credit for your existing customers, and they stop you being sold activity with nothing tied to it. If someone will not put their definitions in writing before they start, that tells you what their reporting is going to look like in month three.
Pick the one place that will be your system of record. Then walk every way a customer can reach you, the phone, the form, the booking link, the walk in, and ask whether that path leaves a trace. Wherever the answer is no, that is your next hour of work.
If the phone is where your leads arrive, yes. It is the only way to know which source produced a call rather than guessing from the volume the same week.
Sixty days works for most service businesses. Shorter suits impulse purchases, longer suits considered high ticket decisions. What matters most is agreeing it in writing beforehand.
Partly. Consistent tracking on your entry points and one agreed system of record get you most of the way. The gap is usually the join between marketing activity and money actually collected.
They should be carved out, with one exception worth writing down: an existing customer who responds to a campaign and buys something they had never bought before is genuinely new revenue.
We wire the tracking before anything launches, and on a partnership our fee is tied to revenue we can prove the system produced.
